The risk with cloud AI

Why regulated businesses need private transcription

Most AI transcription is cloud based. To turn a call into text, the audio is sent to a third-party AI service, such as one built on OpenAI, and processed on that company's systems. For a regulated business, that means patient details, client matters or financial information leaving your control.

Under UK GDPR, a recording or transcript of an identifiable person is personal data, and health information is special category data with stricter rules. Every extra company that handles it is one more you have to vet, name in your privacy notice and account for.

Healthcare

Call recording and transcription for healthcare providers

Patients share health details on the phone that they'd only tell their clinician. When those calls are recorded and transcribed, you need to know exactly where they go. On our Private 3CX AI Server, they stay private and never go to a third-party AI service.

Transcription can take some of the admin off your reception and clinical teams. Each call can come with a transcript and a short summary, ready to check and add to your records, so staff spend less time writing up and more time with patients.

Transcripts aren't perfect, so they work best as a starting point that someone checks, rather than a finished record.

Less time typing up calls for reception and clinical staff

Access limited to the staff you choose

Finance and IFAs

Call recording and archiving for financial firms and IFAs

Financial firms are expected to keep records of client conversations, and many have to record calls due to FCA regulations. Those records need to be kept safely, found quickly and held for the right length of time.

We offer seven-year archiving of call recordings for financial firms, to align with FCA retention expectations. Recordings and transcripts are kept privately on our Private 3CX AI Server, and none of it goes to a third-party AI service.

When a client or regulator asks for a call, you'll know exactly where it is. We can't advise on your specific FCA obligations, so check the retention period that applies to you with your compliance officer.

Card payments

Taking card payments over the phone

If your team takes card payments on calls, card details shouldn't end up in your recordings. Under PCI DSS, the security standard for card payments, storing card numbers and security codes in a call recording is something to avoid.

3CX lets your staff stop and start recording while a payment is taken, so the card details aren't captured. It's a manual step, so it relies on your team remembering to use it every time.

If you take a lot of card payments by phone, a dedicated PCI-compliant payment solution may be the better long-term answer. We'll talk you through the options honestly, and tell you if pausing recording is enough for the way you work.

How pause and resume recording works

1

Your staff member reaches the point in the call where payment is needed.

2

They pause the recording in 3CX before the caller gives their card details.

3

Once the payment is taken, they resume recording and the call carries on as normal.

Our role

Where we can help, and where your compliance lead comes in

We can

Set up recording, transcription, access permissions and retention in 3CX to match your policy, archive recordings for seven years for financial firms, and add the recording message callers hear.

We can't

Tell you what your policy should be under SRA rules, FCA rules or data protection law such as UK GDPR. That's for your COLP, compliance officer or data protection lead, and we're happy to work through the setup with them.

FAQs

Questions from regulated businesses

Does any call audio go to a third-party AI service?

No. Calls are recorded and transcribed privately on our Private 3CX AI Server. No patient, client or customer data goes to a third-party AI service.

How long can you keep recordings?

We set retention in 3CX to match your policy. For financial firms, we offer seven-year archiving to align with FCA retention expectations.

Can we stop card details being recorded?

Yes. 3CX lets staff pause and resume recording while a payment is taken. It's a manual step, so if you take a lot of card payments by phone, a dedicated PCI-compliant solution may suit you better. We'll talk you through it.

Can transcripts replace our notes or records?

They work best as a starting point. Transcripts aren't perfect, so someone should check the transcript and summary before it goes into your records.

Will you work with our compliance officer?

Yes. We'll work through the setup with your COLP, compliance officer or data protection lead so it matches the policy they decide.
