With the AI Server now available on its own, the transcription decision comes down to two questions: how many minutes you process each month, and whether privacy, compliance or data sovereignty rules apply to your business. Here's how the two options compare.

Cloud transcription: quick, simple, best for lower volumes

For most smaller deployments, a cloud transcription API stays the easier choice. There's no hardware to buy or manage, setup is faster, and costs stay low while transcription volume is limited.

As a guide, cloud transcription is usually the most cost-effective option under 25,000 minutes a month (around 19 hours of recordings a working day). That fits businesses that want a quick setup, have lower transcription usage, don't want to manage dedicated AI hardware, and don't have strict data sovereignty requirements.

3CX AI Server: built for scale and data control

Once call volumes climb, cloud costs climb with them, since every extra transcription minute adds to the bill. A dedicated 3CX AI Server changes that cost model: there's an upfront hardware cost, but the ongoing spend settles down to electricity, hosting, maintenance and administration.

This makes the AI Server more attractive for businesses processing 50,000+ minutes a month, or for call centres handling high call volumes over time. It's also the right choice when privacy or compliance is the main requirement: recordings, transcripts, summaries and sentiment data all stay inside your own infrastructure, which matters for organisations in sectors such as healthcare, finance, public services, or any business with strict internal data policies.

Before you decide

Two things to check before switching either way:

  • AI transcriptions and summaries need 3CX AI Edition, with recording and transcription both enabled.
  • The standalone 3CX AI Server requires 3CX V20 Update 10 or above.
